Privacy Policy
Effective Date: December 21, 2025
Welcome to FilmPro (“FilmPro,” “we,” “us,” or “our”). We value your privacy and are committed to being transparent about how we collect, use, and share information when you use our AI-powered film production management platform, related websites, applications, and services (collectively, the “Service”).
This Privacy Policy explains our practices regarding information we collect from or about you when you access or use the Service. By using the Service, you understand and agree that we will collect, use, and share information as described in this Privacy Policy. If you do not agree, please do not use the Service.
1. Definitions
For purposes of this Privacy Policy:
- “Personal Information” / “Personal Data” means information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked to an individual (for example: name, email address, billing details, device identifiers).
- “User Content” means any film script, text, images, project data, production documents, prompts, or other content you upload, submit, import, or generate within the Service.
- “AI Providers” means third-party model providers (such as OpenAI, Anthropic, Google and Replicate, and/or others we may use from time to time) that process inputs to generate AI outputs as part of our AI features.
- “Account Holder” means the person or entity that creates and controls an account for the Service.
- “Authorized Users” means individuals who are invited or otherwise authorized to access a FilmPro workspace or project under an Account Holder’s account (for example: collaborators, crew members, students).
- “AI Outputs” means content generated by FilmPro’s AI features based on User Content and/or prompts.
2. Information We Collect
We collect information in the following ways:
A. Information You Provide to Us
- Account Information: When you create an account, you provide information such as your name, email address, and password (or other authentication method).
- Subscription and Billing: If you subscribe, our payment processor (for example, Stripe) processes your payment information. We receive limited billing-related information (such as subscription status, billing dates, and partial payment identifiers). Payment card details are typically collected and stored by the processor, not by FilmPro.
- User Content: You may upload scripts and other production-related materials (for example: call sheets, breakdowns, schedules, notes, character descriptions, location details). You may also provide prompts and instructions to AI features.
- Communications: If you contact us (for example, support requests), we collect the content of your message and any attachments you send.
B. Information We Collect Automatically
- Usage Data: We collect information about how you use the Service, such as features used, pages viewed, actions taken, timestamps, and interactions with AI features.
- Device and Technical Data: We may collect device type, operating system, browser type, language settings, IP address, and diagnostic logs.
- Cookies and Similar Technologies: We use cookies and similar technologies for essential functionality (for example, session management), and may use them for analytics and product improvement (see Section 8).
3. How We Use Your Information
We use information we collect for purposes including:
- Providing and Operating the Service: To create and manage accounts, authenticate users, store projects and User Content, enable collaboration, and provide core functionality.
- AI Functionality: To process your requests and generate AI Outputs. This may require transmitting relevant User Content (such as prompts, excerpts, or context) to AI Providers to generate the outputs you request.
- Subscriptions, Credits, and Billing Operations: To process subscription payments, administer plan features, and manage monthly AI usage allotments (for example, AI credits or similar metering units), including resets each billing cycle.
- Communications: To respond to inquiries, provide customer support, send service-related notices (for example, security notifications), and communicate important updates about the Service.
- Analytics and Product Improvement: To understand how the Service is used, improve usability, develop new features, and maintain performance and reliability. Where feasible, we use anonymized or pseudonymized data for analytics and measurement.
- Security, Fraud Prevention, and Legal Compliance: To detect and prevent abuse, fraud, unauthorized access, and security incidents; to enforce our Terms; and to comply with legal obligations.
4. Our AI Practices (Important)
A. Use of Third-Party AI Providers
FilmPro’s AI features may rely on third-party AI Providers to process prompts and relevant context and return outputs. To generate AI Outputs at your request, we may transmit to AI Providers certain User Content that is reasonably necessary for the request (for example: prompts, relevant script excerpts, character or style notes).
B. No Training on Your User Content (FilmPro)
FilmPro does not use your User Content to train proprietary AI foundation models.
C. AI Providers and Training Controls
Where controls are available and as described in our agreements and configurations, we seek to ensure AI Providers do not use User Content submitted through FilmPro to train their general models. AI Provider practices and available controls may vary and may change over time.
D. Data Handling and Retention for AI Processing
We work to limit the data shared with AI Providers to what is necessary to fulfill your request. AI Providers may retain or process data for limited periods for abuse monitoring, security, or operational purposes, depending on the provider and the configuration available.
E. Human Review
We do not review your scripts or production content for creative evaluation unless (i) you ask for support and share content with us, (ii) review is required for safety/security, abuse prevention, or legal compliance, or (iii) the content is needed to troubleshoot an issue you report.
5. How We Share Your Information
We do not sell your Personal Data. We share information only as described below:
A. Service Providers and Vendors
We may share information with service providers who help us operate and improve the Service, such as:
- Payment Processing: (e.g., Stripe) for subscription billing.
- Infrastructure/Hosting/Database: (e.g., Supabase, Vercel, and other reputable providers) to host and store data and run the Service.
- AI Providers: to process requests and generate AI outputs as described in Section 4.
- Analytics and Product Telemetry: Tools such as PostHog for analytics and product measurement (including feature flags). These tools may process device and usage data to help us understand product performance and improve the Service.
B. Legal and Safety
We may disclose information if we believe disclosure is required by law, regulation, legal process, or governmental request, or if necessary to protect the rights, property, and safety of FilmPro, our users, or others.
C. Business Transfers
If FilmPro is involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, information we hold may be transferred as part of that transaction.
D. With Your Consent
We may share information when you direct us to do so, or when you otherwise provide consent.
6. Data Retention and Deletion
A. Retention
We retain Personal Data and User Content for as long as reasonably necessary to provide the Service, operate subscriptions and billing, protect the security and integrity of the Service, comply with legal obligations, resolve disputes, and enforce agreements.
B. User-Initiated Deletion
You can delete individual items (for example: scripts or projects) and/or delete your account through the Service (where available) or by contacting support.
- We will remove deleted data from active systems within a commercially reasonable period, and it will no longer be accessible through the Service.
- Certain records may be retained for legal, security, fraud prevention, or compliance purposes (for example: billing records, audit logs, or abuse monitoring).
- Residual copies of deleted data may remain in backups for a limited period. Backups are not used for product operations and are overwritten or purged on a rolling basis as part of normal backup lifecycle management.
C. Backups
We maintain backups for disaster recovery and business continuity. If data exists in a backup, it will be deleted or anonymized once the backup is rotated out or purged in the normal course of operations.
7. Your Rights and Choices
Depending on where you live, you may have rights regarding your Personal Data, such as access, correction, deletion, and cookie controls. We do not sell Personal Data and we do not share Personal Data for cross-context behavioral advertising as those terms are defined under certain U.S. privacy laws.
To exercise your rights, contact us at support@filmpro.ai. We may need to verify your identity before fulfilling requests.
California Residents (CCPA/CPRA): If you are a California resident, you may have additional rights, including the right to know what categories of Personal Data we collect and disclose, the right to request deletion, and the right to correct certain information. We do not sell personal information as defined under California law.
8. Cookies and Tracking Technologies
A. Essential Cookies
We use essential cookies and similar technologies (for example, authentication/session cookies) to keep you logged in and enable core functionality.
B. Analytics and Product Measurement
We may use analytics tools (such as PostHog) to understand usage patterns, improve the Service, and evaluate feature performance. These tools may collect device and usage data and may set cookies or use similar technologies. Where required by law, we will provide appropriate disclosures and consent mechanisms.
C. Do Not Track
Some browsers transmit “Do Not Track” signals. The Service does not currently respond to DNT signals. If this changes, we will update this Privacy Policy.
9. Data Security
We use industry-standard measures designed to protect Personal Data and User Content, including encryption in transit (HTTPS/TLS), access controls, secure infrastructure, and monitoring.
No system is 100% secure. You understand that transmission and storage of information is at your own risk. If we become aware of a data breach affecting your Personal Data, we will notify you as required by applicable law.
10. Children’s Privacy
FilmPro is not directed to children under 13.
Individual Accounts: Users must be at least 18 years old to create an individual FilmPro account.
Minors (Under 18): If you are under 18, you may only use FilmPro through an account created and managed by a parent or legal guardian, or through an educational institution or organization that has agreed to FilmPro’s terms and is responsible for your use of the Service. In these cases, the parent/guardian or institution is responsible for providing any required consents and authorizations for the minor’s use.
We do not knowingly collect Personal Data from children under 13 without verifiable parental consent. If you believe a child has provided Personal Data to FilmPro without appropriate consent, please contact us at support@filmpro.ai.
11. International Users and Data Transfers
FilmPro is based in the United States, and information we collect may be processed and stored in the U.S. and other countries where we or our service providers operate. Data protection laws may differ from those in your jurisdiction. By using the Service, you understand that your information may be transferred to and processed in those locations.
12. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technologies, or legal requirements. When we do, we will update the Effective Date above. If changes are material, we may provide additional notice (for example, via email or within the Service).
Your continued use of the Service after an update becomes effective means you accept the updated Privacy Policy.
